It takes a lot of work to learn how to run conference calls and it’s a hard job to run them efficiently and effectively. Each of us has to follow some basic guidelines to help your conference call run smoothly and to make sure that everyone involved will get the most out of this process. The first thing tho do is to make sure that you have a dedicated line or a good conference call service that you can rely on and you also have to make sure that you send this information out to those that should be on the call. It’s really important to send reminders the day before and during the day when you have this process to make sure that everyone will attend it.
You should plan your conference call before it begins and you should prepare a brief outline with the main discussion points before everything starts. It’s like a face to face meeting but this is made over the phone or over the internet. If you’ve got every headline in front of you it will be a lot easier to discuss each point you wanted to. When the call starts it’s always good to introduce yourself in case there are listeners that don’t know you or don’t recognize your voice.
When someone talks, it’s good to ask them to identify themselves so everyone knows who is talking. You should remain at your main subject and try to stop others from going off topic and you should try to take notes when someone else is saying something interesting. In the end, it’s always good to thank your listeners for the time spent with you.
